Speaker Schedule updates:   ODA Government Affairs Director, Jennifer Lewis-Goff-Lewis, will attend the Dec 12, 2017 meeting and give a brief legislative update.   3 CE Risk Management is scheduled Dec 11, 2018. January 9, 2018 CE course sponsorship available. Article review assigned.

 Financial Update: Accounts verified. Board voted to transfer Cetera Investment account after review and deposit into another existing mutual fund, for best growth opportunity. Advertisement sponsorship available. SAIF dividend deposited. Domain renewed for 2 years.New retirement Savings Program launched. 2019-2020 is timeline for employers with fewer than 19 employees. Credit Card Slider usage costs reviewed and found not financially feasible at this time.

Old Business:  HOD in Portland- November 10-11, 2017. Mega-issues discussed. ODC at the Oregon Convention Center, Portland- April 5-7, 2018.   Website updated. Recruiting Peer Review committee member (CE available). No ADA and no MPDS dues (or sponsorship) increases for 2018. Update your Find-A- Dentist profiles.

New Business:  Outside solicitation prohibited by membership. Brannen volunteered as ODA Prescription Drug Monitoring Program Advisory Commission member. Xu accepted ODA Board of Trustees stipend for new dentist HOD participation and will receive reimbursement of hotel and mileage. Proposal for new Executive Director benefit conversed and tabled for further discussion.

Members Heringer Jr., Heringer III, and Saucy helped donate floss, paste, and brushes to Eagle Creek Firefighters. Executive Director performance reviewed. MPDS office closed October 23-27, 2017 for vacation.

 Speaker Schedule updates:  Schedule has been confirmed for 2017-2018 and AGD paperwork has gone out. 3 CE Risk Management is scheduled Dec 11, 2018. ODA representative asked to give update during membership meeting. Membership meeting/CE venue relationship reviewed due to complaint of bridge traffic. MPDS will remain with current venue based on several criteria.

 Financial Update: Accounts verified. New officers updated and financial signer’s changes made. Current investments to be reviewed by board during summer. Final tax information being gathered. Passwords, keys, and backup given to new president.

 Old Business:  HOD in Portland- November 10-11, 2017. MPDS opting out of ODA outreach in fall. Updated Bylaws finalized. Rep at Large to take on duty of website manager in accordance with Americans with Disabilities Act. Recruiting Peer Review committee members.

Speaker Schedule updates: Schedule dates and presentations have been confirmed. Risk Management is scheduled Dec 11, 2018. May 2017 Article review & host determined. Frankel and Brannen to work on 2018-2019 schedule in Fall 2017. Course fees for non-members to be $60 except HIPAA/OSHA will be $70 for non-members and Risk Management will be $100 for non-members. Members will receive all the courses and a meal for $30. ODA asked to find date to come down and join us for a CE meeting.

Financial Update: Accounts verified. Marion County Rep. and Rep at Large to review investment accounts to make sure they preforming well. Venue’s reserved for next session. MPDS will help with spring renewal outreach only.

 Speaker Schedule updates:  Schedule, dates, and AGD codes have been confirmed for 2017-2018. 2 CE HIPAA/OSHA (Infection Control) is scheduled Dec 12, 2017 and 3 CE Risk Management is scheduled Dec 11, 2018. Sponsorship recruitment over summer. Membership interested in future CE on “Digital Impressions on Dentures” and “Oral Appliances and Titration”. Member Brannen volunteered to help secure CE in future schedules.

 Financial Update: 2016-2017 outstanding course sponsorship being collected. Accounts verified. Anti-virus renewed. Conference room secured for 2017-2018 session.

 Old Business:  STARS reception at Chemeketa- May 5, 2017. HOD in Portland- November 10-11, 2017. Double offsite backup approved for MPDS changed to monthly portable backup drive being kept by President and daily portable backup kept by Hance. MPDS helping with ODA outreach this spring but will opt out in fall due to schedule conflicts. Executive board approved proposed change in bylaws in board positions, board titles, quorum, and duties of board positions due to long term vacancies. Proposed bylaws emailed to membership March 8, 2017 and will be read at March 14, 2017 membership meeting.  Majority vote to be held at the May 9, 2017 membership meeting.

 New Business:  Nomination of  board positions approved. Peer Review Chair Chamberlain and Vice Chair Bonar approved. Membership majority approves all changes in board and peer review and MPDS board induction follows at May 9, 2017 membership meeting.  Financial signer confirmed and changes will follow induction on June 7, 2017.   No dues or sponsorship increases for 2018.

Executive board approved proposed change in bylaws in board positions, board titles, quorum, and duties of board positions due to long term vacancies. Old Business:  ODA Dental Day at Capital, March 14, 2017. Registration open. ODC, April 6-8, 2017. STARS reception at Chemeketa, May 5, 2017.  HOD 2017, November 10-11,2017 at DoubleTree Hilton in Portland.  Oregon Tech Dental Hygiene Program needs a dentist Monday afternoons for hygiene and restorative.  2017 Non-deductible portions of yearly dues is 7.5% or $112.73 for Lobbying Expense. Board Vacancy available, inquire if interested.

New Business:  Approval for usage of a portable hard drive backup will be used daily following the discontinuation of Carbonite by December 2016. Carbonite only saves data, no files, folders, or programs so data is scrambled. Program to be written to save exact replica approved. Board interested in combining President Elect and Vice President board position as well as elimination of Rep at Large due to long term vacancies on the board.  Bylaws to be rewritten for approval by March board meeting and duties to be reassigned. Membership to vote following approval of the executive board.

Financial Update: 2016-2017 outstanding course sponsorship being collected. Accounts verified. Chemeketa scholarship 2017-2018 mailed. New 5 year contract being put together for Chemeketa Dental Assisting scholarship. Hance approved to attend ODA Summit meeting for components February 1, 2017.

Alcohol policy reviewed for membership meetings. It is “Roth’s policy that they cannot have any alcoholic beverages in the room without an OLCC licensed server pouring or serving the beverages.”  It is $35 per hour per 50 attendees, regardless of how many people consume or how many drinks are poured. Vice-President board position remains open for member for remainder of term. 

New Business:  HOD will be held in Portland at Double Tree Hilton on November 10-11, 2017. Sponsors suggested no December courses due to holiday schedules.  Sponsors are asked to select the month not assigned. MPDS members want to retain 8 CE courses per year.  New associate dentist invited by Hance to complimentarily attend membership meeting.  Non-member advertising rate discussed.

Costs associated outweigh traffic concerns to society at this time.  HOD review article to be written for Newsletter by delegate.  New local dentist invited by Hance to complimentarily attend membership meeting. ODA membership drive continues.

BCS/Hance continue to work on IRS discrepancy from funds being applied to wrong year.

Application Membership Review- Application for membership shall be made to the Marion & Polk Dental Society office on the official form of the Oregon Dental Association (and/or Aptify and/or ODA email).  It shall then be reviewed, approved, and signed by the Administrative Secretary/Executive Director.  It will then be returned to the ODA by fax and/or Aptify. All applications for membership shall be reported at the next executive board meeting. All applications shall be filed permanently in the MPDS office.  When the invited applicant attends a future general membership meeting, he/she will be introduced as a new member. 

New Business: ADA offering future High Roads as a paid template for state and local components. Future MPDS computer tower purchase and installation updated.  ODA Dental Day at the Capital Tuesday, March 14, 2017 open for registration on the ODA website.

 Adm. Updates: Accounts verified. Administrative Secretary given approval to accept new and transfer membership applications. All waivers must still be discussed on case to case basis. Computer Ease given account information to pay taxes electronically.

Old Business:  Reviewed MPDS Mission Statement and Core Values. Discussion held regarding dental assisting scholarship updates for 2018-2022. Discussion held regarding donation to Tooth Taxi. Vacancy on 2016-2017 board.  Travel Reimbursement checks will remain $100 to help HOD volunteers after attendance..

New Business: Web updating to be the job of the MPDS Executive Secretary/Treasurer after receiving training. Trevor to do 2016-2017 session.  By-Laws to be updated by Hance.  Save a date- ODC April 6-8,2017.  Save a date- May 5, 2017 Chemeketa STARS reception.  Possible 3 hospital cases to be completed in conjunction with BiNational Health Fair. Project Access looking for volunteers.  Scholarship recipient to be at October 11th meeting. Peer Review calls at the ODA on upward trend. Salary/job review tabled until October. Hance to provide job description and details in confidential email to board. Lifetime membership awards to Davis, Dilger, Saucy, and Tidwel. New MPDS computer tower discussed. June 1, 2016

Financial Update: Investment with Bank of America transferred internally (not by MPDS decision) to Black Rock Liquidity. New Black Rock application completed. Received back for full completion. Frankel is getting help to complete.  

Adm. Updates: Accounts verified. Summer hours shortened. ODA component summit meeting August 3, 2016. Office closed August 10- 23 2016. SAIF, TBIC, ODA, TBAK, Oregon Non-Profit, and all financials updated with new executive board officers.

Old Business: Website launch is June 21, 2016.IRS refund outstanding. No meal options to be discontinued in September 2016 along with $5 course increase. New Roth’s rooms booked for 2016-2017 year.  Membership dues remain the same since 2009 at $220.  VP position remains vacant. Email solicitation of members discussed. 

New Business:  Four members to received their Lifetime plaque’s in Fall. Board officers installed May 10, 2016 . Signature changes to all financial accounts taken care of during Illahe meeting. Fire total loss for Mid-Valley OMS- working from temp location.  Tooth Taxi asking components to pledge $2K/year for 5 years- MPDS to take to membership.  HOD to continue to receive travel compensation. Huggins approved as HOD Delegate for MPDS and as specialist for Peer Review if needed in Pedo/Ortho. Closed final board meeting to remain at Illahe 2017.


May 3, 2016
